Caja has partnered with a leading British university to transform its Student Services through process redesign, RPA, and intelligent automation. Over 40 workshops mapped and analysed more than 30 critical processes, including Enrolment, Course Setup, Enquiry Management, Exam Scheduling, and Student Record Administration. The review revealed common challenges such as manual data handling, limited system integration, and resource-heavy, low-value tasks.

By reimagining these processes and introducing RPA, API integrations, and automation, Caja helped the university reduce inefficiencies, improve reporting, and create a data-driven environment. The improvements enhanced operational efficiency and accuracy while delivering a better student experience—faster responses, reduced administrative delays, and more staff time for high-value support. Building on this success, Caja is now working with the university to identify further automation opportunities, with small-scale pilot RPA initiatives planned for Q4 2025 and large-scale projects set for 2026.
